Everyone knows the classic guest book: a beautifully bound book where guests write their well-wishes during the wedding. Usually with a pen that doesn't work, in a corner nobody can find. And at the end there are three entries: "All the best!", "Good luck!" and an illegible signature from Aunt Hilda.
Sound familiar? Then it's time for a modern alternative.
A digital guest book collects not just written entries, but also photos, videos, and voice messages - all in one place, right on your guests' smartphones. No lost note cards, no illegible handwriting. Many solutions work as a QR code guest book, and some can even be used as a free digital guest book.

What is a digital guest book?
A digital guest book is an online platform where your wedding guests can leave their well-wishes during (or after) the celebration. But unlike the classic guest book, it's not just about text.
What guests can add to a digital guest book:
- Photos: Selfies, group shots, candid snapshots from the party (in original quality when uploaded via the web interface)
- Videos: Video greetings, funny clips, dance floor footage
- Text messages: Congratulations, anecdotes, advice for married life
- Voice messages: Spoken greetings (on some platforms; not currently available with us, but something we could build on request)
- Drawings: Digital doodles or finger drawings (less common; not currently possible with us)
The principle is simple - here's how it works on a photowall platform:
- You create a digital event on the platform
- You generate a QR code or link
- Guests scan the code with their smartphone or click the link
- They upload photos, videos, or texts
- Everything collects automatically in your digital gallery

The verdict:
The classic guest book has charm and nostalgic value. It's tangible, real, personal. But it also has clear weaknesses: low participation, often boring entries, no videos.
The digital guest book offers more variety and spontaneity, but feels less "special" - it is digital, after all. The good news: you can turn the digital content into a printed book or a memory video later (more on that in the combination chapter).
5 digital guest book solutions compared
There are several ways to set up a digital guest book for your wedding. Here are the five most common solutions with honest pros and cons.
Solution 1: Photowall platforms
Platforms built specifically for events. Guests upload photos and videos, which are collected in a gallery. Optional: a live slideshow on a projector or TV.

If text entries matter more to you than photos or videos, these apps are a good choice. But: the hurdle of having to install an app often lowers the participation rate significantly. Solution 3: Google Forms / online forms
A simple online form (e.g. Google Forms, Typeform) where guests type in their well-wishes - plus optionally upload photos.
How it works
- Open Google Forms and create a form
- Add fields: name, message, photo upload
- Generate a link or QR code
- Distribute it at the wedding (QR code on tables)
Pros
- Completely free
- Very easy to set up (10 minutes of work)
- No registration needed for guests
- Responses land automatically in a spreadsheet

- Zero event feeling (it looks like a form, because it is one)
- No gallery view (you just see a list of entries)
- No videos possible (only photos, if at all)

Honest assessment
It works technically, but it feels cheap. Your guests fill out a form as if they were taking a survey. Not exactly romantic. Only recommended as a fallback.
Solution 4: WhatsApp group or messenger chat
You create a WhatsApp group "Lisa & Tom's Wedding - Guest Book", invite all guests, and they post their messages and photos there.

Honest assessment
WhatsApp groups are practical for small, intimate celebrations. But with 80+ guests it quickly becomes a mess. And the "guest book feeling" is completely lost - it's just a regular chat.
Solution 5: Instagram/TikTok hashtag
You create a unique hashtag (e.g. #LisaAndTom2026) and ask guests to post their wedding photos on Instagram or TikTok using it.
How it works
- Create a hashtag (unique enough that it only exists for your wedding)
- Communicate the hashtag at the wedding (signs, place cards, announcement)
- Guests post photos/videos with the hashtag
- You search the hashtag later and collect all the posts

Who it's right for
Younger couples with younger guests who are active on social media anyway. Works well as an add-on (not as the main solution).
Honest assessment
A hashtag is a nice extra, but not a full digital guest book. Too many guests won't take part (either no account, or they don't want to post publicly). Use it as a bonus, but don't rely on it.
Planned: A hashtag integration for Instagram is on the Event Photowall roadmap - so Instagram posts with your wedding hashtag could automatically be imported into the photowall. That would connect both worlds: social-media-savvy guests post publicly, others upload privately via QR code.
Combining digital + analog
Here comes the best solution for everyone who can't decide: combine both.
A classic guest book AND a digital system side by side give you the best of both worlds.
Here's how to set it up:
Setup 1: Classic book for text, photowall for media
- Classic guest book on a beautifully decorated table (with pens, decor, instructions)
- QR codes for the digital photowall on every table
- The message to guests: "Write your well-wishes in the guest book (at the entrance) and share your photos via QR code!"
Guests who love to write use the book. Guests who prefer sharing photos/videos use the photowall. Everyone does what suits them. Point to both on the place cards (sample text in the chapter Getting guests involved).
Setup 2: Classic book + photo booth prints
You combine a classic guest book with prints from a photo booth. Guests take photo booth pictures, which get printed, cut out, and glued into the guest book - with a handwritten note next to them. Tactile, personal, every photo one of a kind. The digital photowall runs in parallel for all the phone photos and videos.
Costs:
- Photo booth rental: typically several hundred euros, depending on the provider
- Guest book: around €30
- Photowall: €39
- Total: usually several hundred euros all in
Setup 3: Instant photo guest book + digital gallery
A popular combo: an instant camera at the guest book table. Guests take an instant photo, glue it into the book, and write underneath. The instant photo book becomes personal (photos + handwritten messages), while the digital photowall collects hundreds of phone photos and videos in parallel.
Costs:
- Instant camera: €100-150 (to buy) or around €50 (to rent for a day)

This is the premium approach: a tactile, nostalgic guest book AND digital variety. It costs more (film is expensive), but it's worth it if both aspects matter to you.
Setup 4: Audio guest book (phone)
A guest book phone is a real telephone (often a retro model) where guests can record their well-wishes. Currently very popular and a great alternative to written text: set up a phone with a recording function, guests pick up the receiver and speak their greetings, and the recordings are saved automatically.
Later, you get to hear the voices of your loved ones - lovely for everyone who doesn't enjoy writing. The audio guest book is purely digital (it can't be displayed on the photowall), but the recordings can be edited into a memory video. The digital photowall runs in parallel for photos and videos.
Setup 5: Video message station + guest book
Set up a small "video booth": a tablet or smartphone on a tripod where guests can record video greetings. Plus a classic guest book for text.
Here's the technical setup:
- Tablet/smartphone on a tripod
- A video booth app, or simply the camera app in video mode
- A sign: "Record a video message for us!"
- Save after each video (or have it save automatically)
Video greetings are emotional: Grandma's congratulations in moving pictures, the spontaneous speech from your best friend. The catch: guests are often shy in front of the camera. You'll need someone to "host" the station and encourage people to take part.
How to get your guests involved
The best digital guest book is useless if nobody takes part. Here are the proven strategies to activate your guests.
1. Make it visible
Problem: Guests don't see the QR code or forget that a digital guest book exists.
Solution:
- QR code on EVERY table (not just at the entrance)
- Additionally: posters at the entrance, at the bar, in the restrooms
- Mention it in the program booklet
- Point to it on place cards

"Dear guests, we're collecting your photos and videos today! You'll find a QR code on every table. Just scan it with your camera, upload your photos - and you'll see them live on the big screen later. We'd love every moment you share with us!"
3. Gamification: Turn it into a game
Problem: Guests are too lazy or simply forget.
Solution: Turn it into a challenge or a raffle.
Ideas:
- "Whoever uploads the most photos wins a bottle of champagne!"
- "Photo contest: best photo of the night gets crowned!"
- A "mission list" on place cards: "Take a photo with the couple", "Take a group selfie", "Find the oldest person on the dance floor"
Tip for Event Photowall users:
If you're using the photowall, you can activate recurring overlays that point to these activities. Sooner or later guests will read them - but it's still best to announce it out loud, for the guest who forgot their glasses!
Benefit:
A playful approach motivates more people to join in. Younger guests especially love these challenges.
4. Live slideshow as motivation
Problem: Guests don't immediately see that their uploads are arriving.
Solution:
Set up a projector or large TV that shows the uploaded photos as a live slideshow.
Why this works so well:
Guests see their photo on the big screen → "Oh cool, that was my picture!" → instantly motivated to upload more photos. A live slideshow makes the digital guest book tangible and doubles as party entertainment.
5. Start it yourself
Problem: Nobody wants to make the first move.
Solution:
Upload a few photos before the wedding (e.g. from getting ready, the journey, the setup). That way the gallery isn't empty when guests arrive. An empty gallery feels off-putting; one with 10-20 photos feels inviting - and others are more likely to join in.
6. Thank-you message after every upload
Problem: Guests get no feedback on whether their upload worked.
Solution:
Good photowall platforms show a confirmation after the upload: "Thank you! Your photo has been uploaded."
Even better: a personalized message like "Thanks for your photo! Lisa & Tom".
Benefit:
Positive confirmation motivates guests to upload more photos.
Technical setup
Now it gets practical. How do you set up a digital guest book, step by step?
Step 1: Choose a platform
Decide on a solution (see above: photowall, guest book app, Google Forms, etc.).
Our recommendation for most couples:
A photowall platform like Event Photowall, because it offers the best balance of simplicity, features, and price.
Step 2: Create your event
Using Event Photowall as the example:
- Go to the Event Photowall homepage
- Click "Create event"
- Enter your event details:
- Name: "Lisa & Tom's Wedding"
- Date: June 21, 2026
- Optional: a password for guests (if you want to keep the gallery private)
- Choose a package (the Sprint package at €39 is usually enough)
- Pay
- Done - your event is live
Time needed: 5 minutes
Step 3: Generate and download the QR code
After the event setup, the platform automatically generates a QR code for you.
What you need to do:
- Download the QR code as a high-resolution graphic (PNG or PDF, at least 300 dpi)
- Optional: customize the QR code design (color, logo, frame - see next step)
Step 4: Design the QR code
A QR code doesn't have to look boring. Adapt it to your wedding decor.
Tools for this:
- Canva (free) - templates for QR code designs
- Photoshop/Illustrator (if you know your way around)
- Event Photowall includes a built-in editor that creates a printable A4 or A5 sheet with your QR code, plus a simple QR code download for your event
Design tips:
- Match the code's color to your wedding colors (e.g. burgundy instead of black)
- Add your initials or a small heart symbol in the middle (no more than 20% of the code area)
- Design a frame around it (matching your invitations)
Important: Test whether the code is still scannable after customizing! Try it with different smartphones (iPhone, Android).
Step 5: Print the QR code
Where to print?
- Online print services (cheap, often well under a euro per card)
- Photo printing kiosks at your local drugstore or supermarket (for small quantities)
- A local print shop (for high-quality table stands or acrylic displays)

- Table stands: A6 or A5 (on thick 300 gsm card stock or acrylic)

Step 6: Check the Wi-Fi situation
A digital guest book only works with internet. Make sure your venue has good Wi-Fi.
Checklist:
- Get the Wi-Fi credentials from the venue
- Test it: does uploading work at the venue? (Do a site visit beforehand)
- Make the Wi-Fi password available to guests (on place cards or posted at the entrance)
If there's no Wi-Fi:
- Mobile data works too (but is slower for videos)
- Rent a mobile hotspot for the day (rental services and mobile carriers offer day rates)
Step 7: Optional - set up a projector/TV for the live slideshow
If you want to use the live slideshow (highly recommended!):
What you need:
- Projector or large TV screen
- Laptop or tablet
- HDMI cable
- Internet access
Setup:
- Connect the laptop to the projector/TV (HDMI)
- Open a browser and enter the platform's slideshow URL (you get it after creating your event)
- Activate full-screen mode
- Let it run - photos appear automatically in a loop
Tip: Many venues already have a projector and screen (just ask!). You only need to bring your laptop.
Step 8: Set up on the wedding day
Day-of checklist:
- [ ] Place QR code stands on all tables
- [ ] Set up the large QR code at the entrance
- [ ] Optional: start the projector/TV with the slideshow
- [ ] Post the Wi-Fi password visibly (if needed)
- [ ] Brief your maid of honor / best man as "tech support"
Timing:
Set everything up BEFORE guests arrive (about 30 minutes ahead). That way everything is ready when the first guests walk in.
What to do after the wedding
The wedding is over. You've collected hundreds of photos, videos, and messages in your digital guest book. Now what?
1. Download all media
Important: Download ALL photos, videos, and texts within 7 days after the wedding.
Why so fast?
Depending on the platform and package, the gallery only stays online for 30-90 days (that's true for us too). After that, the data is deleted (GDPR). So: back it up quickly!
How it works:
- Most platforms have a "Download all photos" button
- All media is downloaded as a ZIP file
- Unzip it → a folder with all your photos/videos
Backup rule:
Store the files in AT LEAST three places:
- External hard drive
- Cloud (Google Drive, Dropbox, etc.)
- USB stick (as an emergency backup)
Important: Don't rely on the cloud alone! Accounts can be hacked, services can shut down. Physical backups are a must.
2. Create a highlights video
You can edit the uploaded videos into a highlights video. The video greetings from guests especially are emotional and perfect for a memory video.
Tools:
- iMovie (Mac/iPhone, free)
- DaVinci Resolve (Windows/Mac, free, a bit more complex)
- Adobe Premiere (professional, but pricey)
- Smartphone apps: InShot, CapCut (free, easy)
Idea:
Cut a 3-5 minute video with the best video greetings, set to music from your wedding. Perfect for sending to family or for social media.
3. Have a photo book printed
You can have the most beautiful photos from your digital gallery printed as a photo book.
Where:
- Online photo book services (quality and pricing vary - compare a few)
- Local drugstore or photo shop print services (fast, done in person)
Format recommendation:
- A4 hardcover (or 30x30 cm) for a high-quality keepsake photo book
- 60-120 pages is usually plenty
- Cost: typically somewhere between €40 and €120 depending on provider and size
Tip:
Use the photo book software's auto-layout function, pick the best 100-150 photos, tweak the layout a little - done. It doesn't have to be perfect; what matters is that the memory exists. Or build it entirely yourself - that takes longer, but then it becomes a perfect keepsake.
4. Thank-you email to guests with a link to the gallery
Send a thank-you email to all guests a few weeks after the wedding (usually not just one week in).
Contents:
- Thanks for coming
- Thanks for the wonderful photos and videos
- Link to the final gallery (if it's still online), or alternatively a link in your thank-you cards, or even a USB stick tucked into the cards
- A heads-up that you'll be creating a photo book soon

5. Screensaver or digital photo frame
Load your favorite 50-100 photos onto a digital photo frame (e.g. Nixplay, Aura, Skylight) or use them as a screensaver on your PC/laptop.
Benefit:
You see the memories every day - not just once a year when you pull out the photo book.
Digital photo frames:
Wi-Fi-enabled frames typically start at around €120-150, and you can add new photos via an app. They also make a perfect gift for parents/grandparents (loaded with photos from your wedding).
6. Social media highlights (optional)
If you want to share photos on Instagram or Facebook:
Tip: Ask your guests first whether they're okay with it! Not everyone wants to appear on social media.
Idea:
Post a collage or a carousel post with the best guest photos and tag the people in them. Caption it: "Thank you for these moments!"
Who is a digital guest book right for?
A digital guest book isn't the right choice for every couple. Here's an honest assessment of who it suits - and who it doesn't.
✅ A digital guest book is perfect if...
...you're tech-savvy
You use digital tools anyway, you have smartphones, you love photos and videos. Then a digital guest book is the logical choice.
...you have a younger guest list (ages 20-50)
Younger guests are familiar with QR codes and uploads. The participation rate will be high.
...you want to collect lots of photos and videos
The digital guest book is perfect for collecting spontaneous moments, different perspectives, and video greetings.
...you want to show a live slideshow at the party
The live slideshow is pure entertainment. Guests love seeing themselves on the big screen. That only works with a digital system.
...you're on a tight budget
A digital guest book (e.g. Event Photowall from €39) is cheaper than an elaborate instant photo guest book (see the FAQ for a cost comparison).
...you're environmentally conscious
No paper, no physical book, no single-use instant film. Digital is more sustainable (at least in terms of physical resources).
❌ A digital guest book is NOT right if...
...you have a very traditional or older guest list
If 70% of your guests are over 60 and barely use smartphones, the participation rate will be low. In that case, a classic guest book makes more sense.
...nostalgia and something tangible matter to you
A handwritten guest book has an emotional value that's hard to match digitally. If you want to flip through the book in 30 years and see your grandparents' handwriting, stick with the classic - or combine it with the photowall.
...the venue has no Wi-Fi and no cell reception
Without internet, a digital guest book doesn't work. If your venue is in the middle of nowhere, a rented hotspot can help (see Technical setup) - or stick with the classic book.
...you want a completely offline celebration
Some couples deliberately want a "phone-free" wedding. Then a digital guest book (and of course the photowall) doesn't fit the concept. A photo booth still does, though - and a photographer certainly does!
...you don't want to deal with tech at all
Even though it's easy: you have to set up the system, print QR codes, and explain to guests how it works. If that's too much effort for you, stick with the classic book.
