Setting up a photo wall sounds like a technical challenge at first - but it isn't. A photo wall setup is easier than hooking up a sound system.

In this guide, we'll walk you through setting up a photo wall step by step - from choosing the hardware to the on-site setup to troubleshooting. Whether it's photo wall tech for a wedding or a company party: by the end, you'll be able to set up your own live photo wall for your event and know exactly what to do if something goes wrong.

What you actually need: The 3 components

A photo wall consists of three things:

1. Display (projector or TV)

The display shows your photo wall to your guests. You have three options:

Projector

Perfect for large rooms and screens. Brightness is what matters, measured in lumens - the right lumen rating for your event depends on the ambient light:

  • 2,500 lumens: Sufficient for darkened rooms (small events, evening receptions)
  • 3,000 lumens: Good for normal lighting (most weddings, birthdays)
  • 4,000+ lumens: Needed for bright rooms with lots of daylight (daytime corporate events)

A concrete recommendation: The Epson EB-X06 (2,500 lumens) - typically a few hundred euros to buy, or available from rental services for a fraction of that per day. We use this projector ourselves at many events.

TV or monitor

Easier to set up than a projector, but less flexible in size.

  • 50-55 inches: For up to 50 guests
  • 65 inches: For 50-100 guests
  • 75-85 inches: For 100-200 guests

Practical tip: Many event venues already have a large TV. Just ask - it can save you the rental cost.

LED wall

The premium option for large events (200+ guests). Extremely bright, perfectly visible even in daylight. But expensive: renting one typically costs several thousand euros per day. Only worth it for corporate events with a matching budget.

Rule of thumb for display size:

  • 50 guests → 50" TV OR 2,000 lumen projector
  • 100 guests → 65" TV OR 3,000 lumen projector
  • 200 guests → 85" TV OR 4,000 lumen projector

2. Computer or tablet

You need a device that displays the photo wall in a browser. Sounds complicated, but it isn't.

Laptop (recommended)

Windows, Mac, Linux - it doesn't matter. All that counts is that a modern browser runs on it (Chrome, Safari, Firefox).

Minimum requirements:

  • 4GB RAM (8GB is better for events with 500+ photos)
  • An up-to-date browser
  • HDMI port for the display

Tablet

An iPad or Android tablet (10 inches or larger) also works great. Advantage: more compact, takes up less space.

Smartphone

Technically possible, but we advise against it. The screen is too small to control things comfortably. If you really have to: use screen mirroring to a TV.

Smart TV directly

Modern smart TVs have a built-in browser. You can open the photo wall directly on the TV - no computer needed. The problem: navigating with a remote control is awkward. Only an option if you really don't have a laptop.

Our tip: Use a laptop. It's the most flexible solution and gives you the best control.

3. Internet (WiFi)

The most important component. Without internet, a photo wall doesn't work, because guests need to upload their photos.

Upload speed is what counts:

  • 10 Mbit/s upload: Minimum for small events (up to 50 guests)
  • 25 Mbit/s upload: Recommended for events with 100+ guests
  • 50 Mbit/s upload: Ideal for large events (200+ guests)

Important: Don't confuse this with download speed! Most internet speed tests show both. Upload is the smaller number - and the more important one for a photo wall.

WiFi coverage

The WiFi needs to cover the entire venue. If guests are standing in corners where the signal is weak, they can't upload photos.

Router type: Dual-band (2.4 GHz + 5 GHz) is recommended. 5 GHz is faster, but 2.4 GHz has better range. With dual-band, guests automatically get the best signal.

Test it in advance!

Go to the venue a few days before your event and test the WiFi:

  1. Go to speedtest.net
  2. Measure the upload speed (not download!)
  3. If the upload is below 10 Mbit/s, talk to the venue or rent a backup router

Backup solution: A mobile LTE router from a mobile carrier (rentable by the day for a manageable fee). Worth it if the venue has poor WiFi.


Step-by-step setup guide

Here's how to set up your photo wall.

Phase 1: Preparation (1 day before)

Prepare everything in advance so you're stress-free on the day of the event.

Step 1: Create your event (3 minutes)

  1. Go to event-photowall.com
  2. Click "Start now" and then "Creator configurator"
  3. Choose your design: colors, layout, logo
  4. Give your event a name (e.g. "Maria's Wedding")
  5. The system automatically generates an event URL (e.g. photowall.live/marias-wedding)

Done! Your event is live. Guests can already upload if you want to share the link in advance.

Step 2: Generate the QR code

  1. In the dashboard, you'll find the "Download QR code" button
  2. Download the PNG file
  3. Print 3-5 copies (A4, color print - that's perfectly fine)

Optional, for a more professional look:

Have the QR code printed on a display stand (e.g. on a rigid aluminum composite panel). Print shops do this for a small fee, and it looks noticeably higher-quality than paper printouts. But it's not a must.

Step 3: Check your hardware

Go through the checklist:

  • [ ] Projector or TV works (test it briefly!)
  • [ ] HDMI cable on hand (at least 3 meters - 5 meters is better)
  • [ ] Laptop fully charged + power adapter packed
  • [ ] Venue WiFi credentials noted down (network name + password)
  • [ ] Possibly an extension cord for power

Practical tip: Pack gaffer tape. You can use it to tape cables to the floor and avoid tripping hazards - a standard tool for event technicians.

Step 4: Do a test upload

This is the most important step - run through the complete flow once, one day in advance:

  1. Open the event URL on your laptop
  2. Scan the QR code with your smartphone
  3. Upload a test photo
  4. Check: does it appear on the display, and is it shown in good quality?

If yes: perfect. If not: check the troubleshooting chapter further down.

Phase 2: On-site setup (30 minutes before the event starts)

You're at the venue and setting things up.

Step 5: Position the display

Positioning is crucial. A badly placed display gets ignored.

Ideal placement:

Central in the room - All guests can see it from their tables ✅ At eye level - Roughly 1.5 to 2 meters high (center of the display) ✅ Away from windows - Backlight makes the display hard to see ✅ Well lit - But not directly lit up (reflections!)

Not in walkways - People walk past and block the view ❌ Not in corners - Gets overlooked ❌ Not too high - If the display hangs near the ceiling, people won't look up

Setting up a projector correctly:

Projectors need distance from the screen. Most projectors have an optimal distance of 3-5 meters. The manual has the exact numbers, but as a rule of thumb:

  • 2 meter screen (width) → 4 meter projector distance
  • 3 meter screen → 5-6 meter distance

Setting up a TV correctly:

Either on a stable stand or wall-mounted (if the venue allows it). Make sure the stand doesn't wobble - if someone bumps into it, the TV falls over.

Secure the cables!

Tape down all cables lying on the floor with gaffer tape. Tripping hazards are a real danger at events, which is why this step is non-negotiable.

Step 6: Connect the computer

Now connect your laptop to the display.

  1. Plug the HDMI cable from the laptop into the display
  2. Choose the display mode:
    • Windows: Press Win + P → Choose "Extend" or "Duplicate"
    • Mac: System SettingsDisplays → Enable "Mirror"

"Extend" vs. "Duplicate" - which is better?

  • Duplicate: Laptop and display show the same thing. Simpler, but you always see your own screen.
  • Extend: The display is a second screen. Advantage: you can do other things on the laptop (e.g. open the admin panel) while the display shows only the photo wall.

Our tip: For beginners, "Duplicate" is easier.

  1. Open a browser (Chrome, Safari, Firefox)
  2. Enter the event URL (e.g. photowall.live/marias-wedding)
  3. Activate full-screen mode:
    • Windows: F11
    • Mac: Cmd + Shift + F
    • The browser interface (tabs, address bar) disappears → the display shows only the photo wall

Done! Your photo wall is now running.

Step 7: Place the QR codes

Where do you place the QR codes? This determines how many guests join in.

Strategic positions:

Reception/entrance - First point of contact when guests arrive. Place a large QR code here (A4 or bigger).

Bar/drinks station - People linger here. Guests wait for drinks and have time to scan the QR code.

Tables - 1 QR code per 3-4 tables (don't clutter every single table). Ideally laminated and placed on the table or leaned against flower arrangements.

Right next to the display - For spontaneous uploads. When guests see the photo wall, they often want to upload a photo right away.

DJ booth/stage - If you have a DJ or host, they can announce the photo wall several times during the evening. This noticeably boosts participation - you'll find a ready-made announcement template further down in the pro tips.

Practical tip: Add text next to the QR code:

"📸 Share your photos!

  1. Scan the QR code
  2. Upload a photo
  3. See it live on the big screen!"

This especially helps guests who are unsure.

Step 8: Final checks

Go through everything one more time before the guests arrive:

  • [ ] Display shows the live photo wall (not some error message)
  • [ ] Test upload works (as in step 4)
  • [ ] WiFi signal is strong enough (at least 3 of 5 bars on your smartphone)
  • [ ] QR codes placed where they're clearly visible
  • [ ] Laptop stays awake (power settings adjusted - more on that in a moment)
  • [ ] If booked: moderation activated (Marathon/Triathlon packages)

If everything's green: lean back and relax. The setup is done.

Phase 3: During the event

Now it's just about keeping everything running.

Keep the laptop awake

The most common problem at events: the laptop goes into standby mode and the display goes black. That's why you should adjust the power settings in advance (see step 8 in the checklist) - how to reliably prevent standby is covered in detail in the troubleshooting section under problem 3.

Keep the browser open

Don't accidentally close the browser tab. Sounds obvious, but it happens.

If you want to use the laptop for other things too (e.g. opening the admin panel to moderate photos), use separate browser windows or the "Extend" display mode.

Monitor the WiFi connection

Check every 1-2 hours whether the WiFi is still stable. If photos suddenly stop coming in, the WiFi could be the problem.

Optional: remote moderation

If you've booked a Marathon or Triathlon package, you can moderate photos before they're published.

Here's how:

  1. Open the admin panel on a second device (tablet, smartphone, second laptop)
  2. Log in with your event credentials
  3. Every uploaded photo first appears in your approval queue
  4. You can approve or block photos

This is especially important at corporate events or public events. No inappropriate photo ends up on the display.

Phase 4: After the event (10 minutes)

Event over, guests are leaving - now you can pack up.

Step 9: Download the photos

Important: download all photos before you take down the hardware.

  1. Go to the dashboard (event-photowall.com, log in)
  2. Click "Download all photos"
  3. The system generates a ZIP file (with 500+ photos, this can take 5-10 minutes)
  4. Save the ZIP file locally on your laptop
  5. Make a backup! Also upload the ZIP to a cloud (Google Drive, Dropbox, etc.)

Practical tip: Many of our customers later share the ZIP file with all guests (e.g. via a WeTransfer link or cloud link). That way, everyone has access to all the photos.

Step 10: Take down the hardware

  • Close the laptop, pack it up
  • Unplug the HDMI cable
  • Turn off the display
  • Collect the QR codes (you can reuse them at your next event if the URL stays the same)

Optional: archive or delete the event

If you no longer need the event (and want to delete the photos for GDPR reasons), you can delete the event in the dashboard. All photos are then removed from the server.


Hardware recommendations & costs

What does a setup really cost? Here are three concrete examples.

Budget setup

For: Private events, small birthday parties, under 50 guests

Hardware:

  • Display: A 2,500 lumen projector like the Epson EB-X06 - renting one for a day typically costs a modest daily fee; buying is usually a few hundred euros
  • Computer: Your own laptop (free)
  • Internet: Venue WiFi (free, check it in advance!)

Software:

  • Event Photowall: Sprint package (39€)

Extras:

  • QR code printing at a copy shop: costs very little
  • HDMI cable (if you don't have one): inexpensive

Total: the software package plus a modest rental fee - noticeably more if you buy the projector instead.

Our take: This is the minimum. It works and looks okay, but only for smaller events. If the venue already has a TV, you save the projector rental entirely.

Standard setup

For: Weddings, corporate events, 50-150 guests

Hardware:

  • Display: 65" smart TV - rentable by the day, or often already available at the venue
  • Computer: An iPad Pro 12.9" - rentable, or free if you already own one
  • Internet: Mobile LTE router as a backup - rentable by the day

Software:

  • Event Photowall: Marathon package (74€, incl. moderation)

Extras:

  • TV stand (if the venue doesn't have one): rentable for a small fee
  • QR code display stand on a rigid panel: a small one-time print cost

Total: typically several hundred euros including all rentals.

Our take: This is what we recommend for most weddings. Solid quality, a professional setup, and not too expensive.

Premium setup

For: Corporate events, large company events, 200+ guests

Hardware:

  • Display: LED wall, 3×2 meters - rental typically runs into the thousands per day
  • Computer: A Mac Mini (dedicated to events) - a mid-range purchase
  • Internet: Professional event WiFi (multiple access points) - typically several hundred euros

Software:

  • Event Photowall: Triathlon package (169€, GDPR-compliant, advanced moderation)

Extras:

  • On-site technician (8 hours): typically several hundred euros

Total: several thousand euros all in.

Our take: This is the high-end option. Only sensible if budget isn't an issue, or for a large corporate event where professionalism is the absolute priority.

Where can you rent hardware?

  • Online rental marketplaces - The easiest way to find projectors, TVs and displays
  • Specialized event tech rental companies - For LED walls and premium equipment
  • Local AV rental shops - Search for "projector rental [your city]". Local rental companies are often cheaper and more flexible.

Most common tech problems & solutions

What can go wrong? And how do you fix it?

Problem 1: "The WiFi is too slow!"

Symptoms:

  • Photos appear with a delay (10+ seconds instead of instantly)
  • Guests get error messages when uploading
  • Dropped connections

Solutions:

Immediate measure (during the event): Ask guests not to upload all at once. Sounds simple, but it actually helps. If 20 people upload at the same time, any WiFi reaches its limits.

Backup WiFi: Rent a mobile LTE router from a mobile carrier. It costs a daily rental fee, but it's a lifesaver when the venue WiFi is poor.

Venue upgrade: Ask the venue about their WiFi speed in advance. Do a speed test on site. If the upload is below 10 Mbit/s, that's a red flag.

Technical solution: Place WiFi repeaters around the venue (they're inexpensive to buy). They extend the range and improve the signal in dead spots.

Problem 2: "The projector is too dark!"

Symptoms:

  • The photo wall is barely visible
  • Especially hard to see in daylight
  • Guests ignore the display because they can't see it properly

Solutions:

Increase the lumens: Rent a brighter projector. At least 3,000 lumens for normally lit rooms. If a lot of daylight comes in, you need 4,000+ lumens.

Change the screen position: Move the projector away from windows and light sources. Direct backlight kills any projector.

Darken the room: Close the curtains, lower the blinds. Sounds obvious, but it's often forgotten.

Alternative: LED display instead of a projector: LED displays (or large TVs) don't have a lumen problem. They're bright enough, even in daylight. If the venue is bright, a TV is the better choice over a projector.

Problem 3: "The laptop keeps going into standby!"

Symptoms:

  • The display goes black after 10-15 minutes
  • You have to wiggle the mouse every few minutes to keep the laptop awake

Solutions:

Adjust the power settings:

Windows: Control PanelPower Options → Set "Turn off the display" to "Never"

Mac: System SettingsEnergy Saver → Set the slider to "Never"

Bonus trick: Caffeine app: Install the free app "Caffeine" (for Mac) or "Caffeinated" (for Windows). These apps prevent your laptop from going to sleep - without you having to dig through system settings.

Plug in the power adapter: Many laptops go into standby faster when running on battery. Plug in the power adapter.

Problem 4: "The QR code doesn't work!"

Symptoms:

  • The smartphone camera doesn't recognize the QR code
  • Guests stand in front of the code, puzzled
  • Nothing happens when scanning

Solutions:

Check the size: The QR code needs to be at least 5×5 cm. If you print it too small, cameras can't recognize it.

Increase the contrast: Black QR code on a white background. No gray backgrounds, no colorful designs. Black and white works best.

Smartphone camera check: Most smartphones since 2018 can scan QR codes natively (just open the camera app and point it at the code). But older smartphones (before 2018) need a separate QR reader app. If guests have older devices, tell them to install a QR reader app (they're free).

Alternative: show a short URL: Print the event URL on the cards in addition to the QR code (e.g. "photowall.live/marias-wedding"). Guests can also type the URL into their browser manually.

Problem 5: "The browser gets slow or crashes!"

Symptoms:

  • After 500+ uploaded photos, the browser becomes sluggish
  • The display updates with a delay
  • Worst case: the browser crashes

Solutions:

Update the browser: Use the latest version of Chrome, Firefox or Safari. Old browser versions often have performance problems.

Clear the cache: Before the event: clear the browser cache. This gives the browser more working memory.

RAM upgrade: If your laptop only has 4GB RAM and you're planning a large event (500+ photos), consider using a laptop with 8GB RAM.

Restart: For very long events (8+ hours) or continuous operation: restart the browser every 2-3 hours. Just close the tab, reopen it, enter the event URL. It gives the browser a breather.


Pro tips from event technicians

What do the pros do differently? Here are a few insider tricks.

Tip 1: Always have a backup plan

Something can always go wrong at events - with a backup plan, you're on the safe side.

Backup laptop: Keep a second laptop in the car (or have a friend bring theirs). If the main laptop fails, you have plan B.

Mobile data as WiFi backup: If the venue WiFi fails, you can start a hotspot from your smartphone. Not ideal, but better than nothing.

QR code as a PDF on your smartphone: If the printed QR codes get lost or damaged, you'll have the QR code as a PDF on your smartphone. You can quickly print it again or show it on a tablet.

Tip 2: Add audio feedback

This one is optional, but super effective:

Connect a Bluetooth speaker to the laptop. Set up a "pling" sound that plays whenever a new photo is uploaded.

It draws attention. Guests hear the sound, look at the display, see the new photo, laugh - and upload one themselves. One by one, more guests join in.

How to do it: With Event Photowall, you can activate audio notifications in the dashboard.

Tip 3: Get the DJ or host involved

If you have a DJ or host, have them announce the photo wall several times.

Announcement template for DJ/host:

"Hey everyone, don't forget to upload your best photos! Just scan the QR code on the tables or at the entrance - and your photos will appear on the big screen right away. Let's go!"

Say it 2-3 times per hour. It boosts participation enormously. Many guests just need a little reminder.

Tip 4: Dual-screen setup

For larger events: use two displays.

Main display: Live photo wall (all uploaded photos in slideshow mode)

Second screen: Permanently shows the QR code + instructions ("How it works: 1. Scan, 2. Upload a photo, 3. See it live!")

Advantage: the QR code is always visible. Guests don't have to hunt for the printed codes.

Tip 5: Don't underestimate cable management

Nothing looks less professional than a tangle of cables on the floor.

Gaffer tape: Tape all cables to the floor. Black on dark floors, white on light floors. Looks clean and prevents tripping hazards.

Cable ducts: For permanent installations (e.g. when a venue installs a photo wall permanently): use cable ducts. Available at any hardware store for very little money.

Label the cables: If you have multiple cables (HDMI, power, etc.), label them with masking tape. "HDMI display", "Power projector", etc. When packing up, you'll instantly know what goes where.

Print this checklist and tick it off on the day of the event.

24 hours before the event:

Frequently asked questions about the tech setup

Can I use a smart TV without a computer?

Yes - modern smart TVs have a built-in browser, so you can open the event URL directly on the TV. The downside remains the awkward navigation with the remote control (see above). Use it only as a fallback when no laptop is available.

Does a photo wall work offline?

No. Internet is absolutely required, because guests upload their photos from their smartphones. The photos travel over the internet to the server and from the server to the display.

There is no offline solution for photo walls. If your venue has no internet, a classic photo booth is the better alternative.

How much data does it use?

About 2-5 MB per photo (depending on resolution and compression).

The math for an average event:

  • 300 photos × 3 MB = ~900 MB = just under 1 GB

With 500 photos, it's about 1.5 GB.

Recommendation: Use WiFi with an unlimited data plan. If you're using mobile internet (LTE router), book a plan with at least 10 GB.

Can I control the photo wall from my smartphone?

Yes! Open the admin panel in a browser on your smartphone or tablet.

This is especially handy for moderation during the event. You can approve or block photos from your smartphone without sitting at the laptop.

What aspect ratio should the display have?

16:9 is the standard. Almost all modern projectors, TVs and monitors are 16:9. Event Photowall is optimized for 16:9.

If your display is 4:3 (older projectors), the photo wall still works - but with black bars at the top and bottom.

Do I need technical knowledge?

No. If you can operate a laptop and plug in an HDMI cable, you can set up a photo wall.

The whole thing is browser-based. No server setup, no installation, no configuration. Just open the URL in a browser - done.

What happens if the WiFi fails during the event?

Guests temporarily can't upload photos. But: most smartphones queue the uploads. As soon as the WiFi is back, the photos are uploaded automatically.

The display keeps showing the photos that were already uploaded (they're in the browser cache).
