Data Processing Agreement (DPA)

Legally secure data processing according to Art. 28 GDPR. DPA template available for download, complete documentation of technical and organizational measures (TOM).

EU Hosting & Server Location

All data is stored exclusively in German data centers (Hetzner). No data transfer outside the EU – except for opt-in AI moderation (see below).

Data Protection Requests & GDPR Rights

Built-in processes for access, deletion, and data portability. Your data protection officer receives a direct contact person and technical documentation.

AI Moderation: Opt-in & USA Transparency

The optional AI moderation (Google Cloud Vision/NLP) applies exclusively to user uploads (guests). Data processing in the USA may occur; permanent storage at Google does not take place. For strictly regulated environments, we recommend manual moderation.

Configurable Deletion Periods

Upload window: 3–5 days. Auto-deletion: 10–90 days (freely configurable). Manual immediate deletion of all event data after the event on request.

Password Protection & Access Control

Galleries are password-protected by default. Role-based access control: only authorized persons can upload, moderate, or download content.

Do we need a Data Processing Agreement (DPA)?
Yes, if personal data (e.g., photos of employees/guests) is processed. We provide you with a GDPR-compliant DPA template that your data protection officer can review. All technical and organizational measures (TOM) are documented.
Where is the data stored?
All data is stored exclusively in German data centers (Hetzner). There is no transfer to third countries – unless you optionally activate AI moderation (Google Cloud, USA). In this case, we inform transparently about data processing outside the EU.
Can we customize the platform to our corporate design?
Yes, completely. In the Professional and Enterprise packages, you can customize logo, colors, fonts, and custom overlays. White-label options (without Event Photowall branding) are available in the Enterprise package.
How does moderation work for large events?
You have three options: 1) Manual moderation: every upload must be approved. 2) AI moderation (opt-in): Google Vision/NLP automatically filters inappropriate content (note: USA processing). 3) Hybrid: AI pre-filtering + manual final approval. Multi-admin support allows multiple moderators to work in parallel.
Can we run multiple events in parallel?
Yes, in the Enterprise and Agency packages. You can run multiple events simultaneously, each with its own settings, branding, and access rights. Central dashboard for overview of all active events.
Is there an SLA or technical support?
In the Enterprise package, we offer a Service Level Agreement (SLA) with guaranteed uptime (99.5%) and priority support. Standard support: email within 24h. Enterprise support: phone hotline, dedicated contact person, technical onboarding.
Can we test the platform before signing a contract?
Yes, we offer a complete demo environment. Contact our sales team – we will set up a test event with all Enterprise features for you and guide you through the setup.
Is integration into our existing systems possible?
Yes. We offer API access and are currently working on webhook support (Q2 2026). This allows you to integrate Event Photowall into your CRM, marketing automation tools, or event management software. SSO (Single Sign-On) on request for Enterprise customers.
